Move-In Information

Set Up Utilities in Your Name

It is necessary that you put all the utilities in your name, unless your Rental Agreement states otherwise. You are responsible for utilities on the first day that your Rental Agreement begins, regardless of when you move into your apartment.

Maintenance Requests

Any maintenance requests can be completed through the resident’s online portal.

Change Your Address with the Post Office

To ensure that you receive your mail at your new address, you must fill out a Change of Address Form at the Post Office or at www.usps.com. It is also helpful to put your name on or in your mailbox to guarantee delivery.

Noise Policy

Loud stereo, television, or other disrupting behavior is not allowed. All noise and guests must be contained within the resident’s unit. Residents shall not host gathering where abuse of the property or disruption of the neighbor’s peace and privacy occurs. Quiet hours are from 10pm-8am daily. Please be courteous of a neighbor’s request to adjust the noise level in your apartment. Please try to resolve all noise complaints peacefully before contacting the office. All complaints to the office must be submitted in writing. Multiple violations could result in eviction.

Cash Pay By Pay Lease

What is Cash Pay?

Cash Pay by Pay Lease is a service that allows residents to pay their balances in cash or other certified funds and a participating retail vendor like Wal*Mart.

How does Cash Pay work?

Send an email to OfficeIC@KMBManagement.com to generate your Cash Pay account number. Then take that Cash Pay account number to a participating retailer and sign up for a Cash Pay account. Once the account is created you can pay with cash or a debit card. There is a $4 processing fee collected by the retailer for this service.

When should I use Cash Pay?

Any resident who prefers to pay in cash or must pay in certified funds due to NSF charges.

What retailers participate in Cash Pay by Pay Lease?

Wal*Mart and Check Into Cash are two retailers in Linn and Johnson Counties who participate in this service. We recommend calling ahead if you are unsure whether or not your local provider participates.

Is there a fee to use Cash Pay?

There is a $4 fee collected by the retailer to utilize Cash Pay.

Important Reminders

This rental unit, including carpets, has been professionally cleaned prior to your move in. If you have any issues with the condition of your unit, please note on your check-in sheet and notify our office as soon as possible.

If you have any questions or a maintenance request, please contact our office. You may also fill out a maintenance request on our website.

Acquiring renters insurance is recommended in your rental agreement.

You will be charged for any service call due to resident negligence.

R.U.B.S. (Ratio Utility Billing Service)

What does R.U.B.S. stand for?

RUBS is an acronym for Ratio Utility Billing System. When individual meters are not available, the RUBS program allows us to bill a reasonable amount per resident for utility services used.

How is RUBS calculated?

The calculations for all utility services are based on the total bill divided by the total number of residents.

For example; 4 people live a building.  The trash charge for that building is $100. Each person’s share is $25. If 1 person lives in Unit A and 3 people live in unit B; Unit A is responsible for their share equal to $25. Unit B is responsible for their share equaling $75. Vacant units’ are paid for by the owner. Any resident who moves in, in the middle of the month, will have a prorated charge based on the number of days living in the unit. The bill dates for utilities are based on the dates the bills were received. Just like utilities for any other provider, they are typically billed for usage in the previous month. Most utility providers bill in a range that may not be consistent with the calendar month.  

How much will my portion be?

Due to the nature of residents moving in and out, the usage of each individual, and the costs of the utility specifically, it’s very difficult to calculate an average cost for each resident, in a given building.

How will I receive my bill?

KMB will email all statements to the residents by the 20th of each month. Each resident must keep an active email address on file.

How do I know how much to pay?

KMB sends out a monthly invoice to the email address on file. Please make sure we have the best email address for you. You will see the charges on your portal by the 20th of each month.

When is my payment due?

Your payment is due with your next months’ rent and can be paid directly on your portal. Charges are posted by the 20th of each month and are to be paid in accordance with the rent on the 1st of the month (unless otherwise stated in the lease).

What if there is an error on my bill?

We do our very best to get make sure each bill is carefully calculated. If you notice an error on your statement, please reach out to your local KMB office so we can address it as soon as possible.

How is occupancy calculated?

Occupancy is any person residing in the unit regardless of age. If you notice someone’s significant other spending more than three (3) consecutive nights in your neighbor’s unit please notify KMB so you aren’t paying for their utility usage.

Can I see the utility bill?

To ensure the total bill is correctly divided would require KMB to provide additional information about the residents who live in the building and owners of the building which we believe would be an evasion of privacy. If you believe the amount you were billed for is inaccurate, please reach out to your local KMB office and we will be happy to help resolve the matter.

Is there a service fee?

A flat fee of $6.16 per month, per unit will be charged regardless of the number of utilities that are being calculated or the total amount being charged.

What does my service fee cover?

The service fee paid by the residents covers the time it takes to email residents the statements, split the bills evenly amongst the residents, accurately calculate the occupancy each month, and audit the utility consumption to ensure the bill’s accuracy.

What if my toilet/sink/shower/pipe is leaking? Will that increase my bill?

With any water issue you must call your local KMB office immediately. Resolving these issues in a timely manner will help residents save money on their utilities. Please notify KMB of any maintenance issues within your unit and building as soon as possible. Not doing so may result in further issues with the unit, higher utility bills than necessary for the residents, and possible additional charges to the resident for the repair.
